Executive Assistant

Position Title: Executive Assistant               Department: Development/Engineering 

Reports To: CEO & Chief Relations Officer Supervises: N/A 

FLSA Status: Exempt               Shift: Day 

Work Location: Lake Mary, FL 

 

Position Summary: 

A highly competent and accomplished Executive Assistant will provide exceptional support to our senior executives. The ideal candidate for this position should have an educational background demonstrating their ability to comprehend complex information and possess sharp business acumen. This role requires a proactive and resourceful individual who can handle a wide range of administrative and executive support tasks with professionalism, discretion, and efficiency. 

 

Essential Duties and Responsibilities:  

The essential duties of the position include the following, and other duties may be assigned: 

  • Administrative Support: Manage the daily administrative tasks of the executive office, including management of purchase orders and purchase order requests, calendar management, scheduling appointments, coordinating travel arrangements, and organizing meetings and conferences. 

  • Communication: Serve as a primary point of contact and gatekeeper for the executives, screening and prioritizing incoming calls, emails, and correspondence. Draft and proofread business communications, reports, and presentations. 

  • Information Management: Conduct extensive research, gather and analyze data, and prepare comprehensive reports and summaries for executive decision-making. Maintain confidential files and records, ensuring efficient information retrieval. 

  • Relationship Management: Cultivate and maintain relationships with internal and external stakeholders, including clients, partners, and senior executives. Coordinate meetings and events, manage logistics, and prepare necessary materials. 

  • Project Coordination: Assist with project management tasks, tracking milestones, deadlines, and deliverables. Collaborate with cross-functional teams to ensure timely completion of projects and initiatives. 

  • Special Projects: Undertake ad hoc assignments and projects, providing research, analysis, and recommendations to support strategic initiatives. Assist with the preparation of board materials and presentations. Special projects will also include personal tasks such as arranging home services, car cleaning, etc. 

  • Confidentiality: Handle sensitive and confidential information with the utmost discretion, maintaining a high level of professionalism and ethical conduct. 

  • Process Improvement: Identify areas for streamlining and improving administrative processes and implement efficient solutions to enhance productivity and effectiveness.

Education/Experience:  

Experience: Proven experience as an executive assistant or in a similar role, supporting C-suite executives or senior management. Comprehension Skills: Excellent ability to comprehend and synthesize complex information quickly, with a keen eye for detail. Business Acumen: Demonstrated understanding of business concepts, industry trends, and financial analysis, enabling strategic decision support. Organizational Skills: Strong organizational and time management skills, with the ability to prioritize tasks, handle multiple assignments, and meet deadlines in a fast-paced environment. Communication Skills: Exceptional written and verbal communication skills, with the ability to draft professional correspondence and interact confidently with internal and external stakeholders. Problem-Solving: Resourceful and proactive approach to problem-solving, with the ability to anticipate needs and make decisions independently. Technology Proficiency: Proficient in using productivity tools such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms. Professionalism: Demonstrates the highest level of professionalism, integrity, and discretion when dealing with sensitive information and confidential matters. Adaptability: Ability to adapt to changing priorities, work effectively under pressure, and maintain a positive attitude. Education: A bachelor's degree. 

 

 

Language Ability:  

Ability to read and comprehend instructions, correspondence, and memos. Ability to write moderately complex correspondence. Ability to effectively converse and present information in one-on-one and small group situations to customers, clients, and other employees of the organization. 

 

Math Ability:  

Ability to add, subtract, multiple and divide on all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio and percents
